    03 / What HMRC requires

Every field a UK self-employed invoice must include.

The non-negotiables for sole traders, freelancers, and limited companies invoicing UK clients. Invora's template includes all of them by default.

    1. Field 01

      Your trading name & address

If you trade under your own name, that's fine — HMRC requires the name you use for your business plus a contactable address.

    2. Field 02

      A unique invoice number

Sequential and never reused. Invora auto-numbers every invoice (INV-0001, INV-0002…) so HMRC's audit trail stays clean.

    3. Field 03

      Client name & billing address

The legal entity you're billing — limited company name and registered address if applicable. Saved once per client and autofilled.

    4. Field 04

      Invoice date & due date

Tax point is the invoice date. Default to Net 14 or Net 30; Invora calculates the due date and triggers chase emails from it.

    5. Field 05

      Itemised work & amounts

Description, quantity, rate, line total. Per-line VAT (if registered) so the totals match what HMRC expects on a VAT invoice.

    6. Field 06

      Total + payment terms

Subtotal, VAT, total due in GBP. Bank details, Stripe / GoCardless link, and a clear due date so your client has no excuse to be late.

    04 / VAT & self-employed FAQ

    Self-employed invoicing, VAT, and HMRC.

The questions UK sole traders, freelancers, and small limited companies actually ask before sending their first invoice.

    • No. You only need to register for VAT once your taxable turnover crosses the HMRC threshold (£90,000 in the 2024/25 tax year) over a rolling 12-month period. Below that, you send a normal invoice without VAT. Invora supports both — switch VAT on in settings the moment you register.
